Understanding our cancellation terms

We understand that plans can change. Here's our transparent cancellation and refund policy for all Incredible Explorer services.

Important Notice

All cancellations must be made in writing via email or WhatsApp. Verbal cancellations will not be accepted. Refunds will be processed within 7-10 business days.

Cancellation by Participant

For Treks and Village Experiences

30+ days before trek date 90% refund (10% cancellation fee)
15-29 days before trek date 50% refund
7-14 days before trek date 30% refund
Less than 7 days before trek date No refund
No show / Cancellation after trek starts No refund

For Homestays and Accommodations

15+ days before check-in 100% refund
7-14 days before check-in 50% refund
Less than 7 days before check-in No refund

For Bird Watching Tours

Cancellation Period Refund Amount
7+ days before tour date 80% refund (20% cancellation fee)
3-6 days before tour date 50% refund
Less than 3 days before tour date No refund

Cancellation by Incredible Explorer

Weather-Related Cancellations

If we cancel your trek/experience due to extreme weather conditions or natural disasters:

  • Option 1: 100% refund of the amount paid
  • Option 2: Reschedule to another available date (valid for 1 year)
  • Option 3: Credit voucher valid for any Incredible Explorer service (valid for 1 year)

Insufficient Bookings

If minimum group size is not met and we need to cancel:

  • 100% refund will be provided
  • We will notify you at least 7 days before the trek date

Special Circumstances

Medical Emergencies

In case of medical emergencies with valid doctor's certificate:

  • 60% refund if cancelled more than 7 days before trek
  • 40% refund if cancelled less than 7 days before trek
  • Medical certificate must be submitted within 48 hours of cancellation

COVID-19 Related Cancellations

If you test positive for COVID-19 within 7 days of the trek and provide a valid test report:

  • Free rescheduling to any date within 6 months
  • Or 70% refund of the amount paid

Partial Cancellations (Group Bookings)

For group bookings, if some participants cancel:

  • Refund will be calculated based on the per-person rate
  • Remaining participants must still meet minimum group size requirements
  • If minimum size is not met, remaining participants may need to pay additional amount

Refund Process

How to Request Cancellation

  1. Send a cancellation request via email to info@incredibleexplorer.com or WhatsApp to +91 95487 71356
  2. Include your booking ID, name, and trek/experience details
  3. You will receive a cancellation confirmation within 24 hours

Refund Timeline

  • Refunds will be processed within 7-10 business days from cancellation confirmation
  • Refund will be made to the original payment method
  • Bank transfer refunds may take an additional 3-5 business days

No Refund Scenarios

No refund will be provided in the following cases:

  • Participant misconduct or violation of trek rules
  • Participant found unfit to continue by the trek leader
  • Participant leaves the trek voluntarily mid-way
  • Participant fails to provide required documents
  • Services not availed due to participant's personal reasons
